These Booking Terms & Conditions (the “Conditions”) apply to all bookings and hire of The Clubhouse by GLASGLOW GIRLS CLUB Ltd..
We’re delighted you’ve chosen The Clubhouse for your event.
Our aim is to provide a welcoming, inspiring and professional environment where people can connect, create, learn and collaborate.
These Conditions are designed to protect both you and GLASGLOW GIRLS CLUB, helping every event run safely and smoothly while ensuring The Clubhouse remains a space that everyone can enjoy.
Before outlining your responsibilities, we’d like to make a few commitments of our own.
At GLASGLOW GIRLS CLUB, we’re committed to providing:
We believe that great events happen when hosts and venues work together, and these Conditions are designed to help us achieve that.
For the purposes of these Conditions:
Booking means the reservation of The Clubhouse for the agreed Event Date(s) and Hire Period, as confirmed in writing by GLASGLOW GIRLS CLUB in accordance with these Conditions.
Booking Fee means the non-refundable deposit payable by the Booking Organiser on booking, being: (A) 100% of the Venue Hire Fee for Bookings with a Venue Hire Fee of £250 plus VAT or less; and (B) 50% of the Venue Hire Fee for Bookings with a Venue Hire Fee of more than £250 plus VAT.
Booking Organiser/you means the individual or organisation responsible for hiring the venue, accepting these Conditions and making payment of the Venue Hire Fee.
Event Date(s) means the date (or dates) on which the Booking is scheduled to take place, as confirmed in writing by GLASGLOW GIRLS CLUB.
GLASGLOW GIRLS CLUB refers to GLASGLOW GIRLS CLUB LIMITED (SC599345), the owner and operator of The Clubhouse.
Guests includes all attendees, speakers, facilitators, contractors, volunteers, suppliers and visitors attending your event.
Hire Period means the Event Date(s) and includes set-up and pack-down time.
The Clubhouse refers to the GLASGLOW GIRLS CLUB venue located at Suite 119 Central Chambers, 109 Hope Street, Glasgow.
Venue Hire Fee means the total fee payable by the Booking Organiser to GLASGLOW GIRLS CLUB for the Booking.
A Booking is only confirmed once:
Until all three stages described above have been completed, the Hire Period remains provisional.
Cancellations by the Booking Organiser of Bookings under £250 + VAT
Cancellations by the Booking Organiser of Bookings over £250 + VAT
GLASGLOW GIRLS CLUB reserves the right to cancel a Booking where:
Where GLASGLOW GIRLS CLUB cancels a Booking for reasons other than (i) the Booking Organiser’s breach of these Conditions and (ii) where information provided by the Booking Organiser is materially inaccurate or misleading, our liability will be limited to refunding the Venue Hire Fee actually paid by the Booking Organsier to GLASGLOW GIRLS CLUB in respect of the cancelled Booking.
GLASGLOW GIRLS CLUB also reserves the right to refuse future bookings where previous use of the venue has resulted in damage, repeated breaches of these Conditions or behaviour that is inconsistent with the welcoming and inclusive ethos of GLASGLOW GIRLS CLUB.
All cancellations must be in writing (email permitted).
Where practicable we’ll try to help to move your Booking to another available date.
Re-scheduling bookings remain entirely at the discretion of GLASGLOW GIRLS CLUB.
If we are able to rebook the cancelled Booking we may, entirely at our discretion, offer a partial refund or booking credit.
The Clubhouse has been designed primarily for:
The maximum occupancy is 20 people, ensuring every guest has a comfortable workspace. The Booking Organiser must not exceed the maximum occupancy notified by GLASGLOW GIRLS CLUB without prior written agreement.
The Booking Organiser is responsible for determining whether the venue is suitable for their event.
As The Clubhouse is a carefully curated community space, we reserve the right to decline booking requests where we believe the proposed event is not the right fit for the venue, our values or the experience we aim to create.
The Booking Organiser accepts responsibility for the venue throughout the Hire Period.
This includes responsibility for:
If the Booking organiser cannot attend their event personally, they must nominate another responsible adult in advance and notify the GLASGLOW GIRLS CLUB in writing.
The Booking Organiser remains contractually responsible under these Conditions for the Booking.
The Booking Organiser must comply with all applicable laws, regulations and licences relating to their event.
The Clubhouse is primarily designed as a business and co-working environment and as such has not been child-proofed.
Events involving children may be permitted following discussion with GLASGLOW GIRLS CLUB.
The Booking Organiser is responsible for:
GLASGLOW GIRLS CLUB is committed to creating an inclusive and welcoming environment for everyone who visits The Clubhouse.
Accessible access to the building is available via 93 Hope Street, where a wheelchair stair lift and lift provide access to the first floor.
An accessible toilet is available on the first floor .
If your event includes guests with additional accessibility requirements, please let us know as early as reasonably practicable before the Event Date. While we’ll always do our best to help, the Booking Organiser remains responsible for ensuring their event is appropriate for the needs of all of their attendees.
External suppliers are welcome including:
The Booking Organiser remains responsible for all suppliers throughout the Booking. The Booking Organiser must notify GLASGLOW GIRLS CLUB in advance of any third-party suppliers attending the event. .
Any additional furniture, staging or specialist equipment must be agreed as early as possible into the booking period in writing with GLASGLOW GIRLS CLUB.
The Booking is personal to the Booking Organiser and must not be transferred to another person or organisation without prior written consent from GLASGLOW GIRLS CLUB.
The Clubhouse operates as a self-managed venue.
Access instructions, key safe details, emergency contact information and (where applicable) key fob arrangements will be provided prior to your Booking.
From 5:00pm, access to Central Chambers is via 93 Hope Street only.
A security concierge is on duty at the 93 Hope Street entrance between 5:00pm and 7:00pm. After 7:00pm, the external security gates to the building are locked. Occupants may still leave the building; however, re-entry is only possible using a valid access fob.
Where a Booking extends beyond 7:00pm, it is the responsibility of the Booking Organiser to ensure they have appropriate access arrangements in place for themselves and their guests. Where required, GLASGLOW GIRLS CLUB will arrange the temporary issue of an access fob in advance of the Booking.
The Booking Organiser is responsible for ensuring that all guests are able to access and leave the building safely throughout the Booking and that the venue is securely locked at the end of the hire period in accordance with the instructions provided by GLASGLOW GIRLS CLUB.
GLASGLOW GIRLS CLUB cannot accept responsibility for attendees who leave the building without making appropriate arrangements for re-entry after 7:00pm.
Personal belongings remain entirely at the owner’s risk.
GLASGLOW GIRLS CLUB accepts no responsibility for loss, theft or damage.
Overnight storage may be permitted by prior written agreement with GLASGLOW GIRLS CLUB but all item storage remain entirely at the owner’s risk.
Deliveries before an event should always be agreed with us in advance.
Furniture may be rearranged to suit your event.

Any damage caused by decorations may result in repair costs being charged.
The Clubhouse sits within a shared building.
Booking Organisers are required to:
Tea, coffee, milk and sugar are included.
You’re welcome to:
Microwave and fridge facilities are available.
Please wash any cups and dishes used before leaving. The kitchen is located on the first floor outwith The Clubhouse, you will be directed to this in the booking welcome back.
Where food or drink is provided by or on behalf of the Booking Organiser, the Booking Organiser is responsible for identifying and managing any food allergies or dietary requirements of attendees, ensuring compliance with all applicable food safety legislation and providing appropriate allergen information where required.
The Clubhouse does not hold a premises licence.
Alcohol must not be sold.
Complimentary drinks or BYOB arrangements are permitted only where lawful.
The Booking Organiser is responsible for ensuring compliance with Scottish licensing legislation.
Registered assistance dogs are always welcome at The Clubhouse.
To ensure the comfort, safety and wellbeing of all visitors, pets and other animals are not permitted within the venue unless expressly agreed in writing by GLASGLOW GIRLS CLUB in advance of the Booking.
Where an exception is agreed, the Booking Organiser is responsible for ensuring that:
Where animals have been approved, GLASGLOW GIRLS CLUB will take reasonable steps to clean the venue before its next use. However, we cannot guarantee that all traces of animal hair or allergens will be removed, and attendees with allergies should notify the Booking Organiser in advance where appropriate.
GLASGLOW GIRLS CLUB reserves the right to refuse permission for animals where we reasonably believe their presence may impact the safety, comfort or enjoyment of other building users or create operational difficulties.
Venue equipment including:

Personal electrical equipment must be safe, suitable and, where applicable, PAT tested.
The Booking Organiser is responsible for ensuring any personal equipment brought into The Clubhouse is safe, suitable for its intended use and operated by competent persons.
Wi-Fi is provided as a complimentary service.
Whilst we will use reasonable endeavours to ensure internet access is available; we cannot guarantee uninterrupted availability and shall not be liable for connection failure or interruption beyond our reasonable control.
The internet connection must not be used for unlawful activity.
We encourage photography and filming.
Please obtain consent from anyone appearing in images or video.
We’d love you to tag @glasglowgirlsclub when sharing content.
Content created within The Clubhouse must not promote:
Failure to comply may result in future bookings being refused.
We love showcasing the wonderful events that take place within The Clubhouse.
From time to time, we may ask permission to photograph your event or share photographs provided by you for promotional purposes.
We’ll always seek your permission before doing so.
We’re delighted for Organisers to let people know their event is taking place at The Clubhouse. However, [GLASGLOW GIRLS CLUB’s name, logo and branding must not be used in a way that suggests sponsorship, endorsement or partnership without our prior written consent.]
A Health & Safety Information Pack and Fire Safety Information Folder are available within The Clubhouse.
The Booking Organiser is responsible for familiarising themselves with this information before welcoming attendees.
The Booking organiser is responsible for ensuring all attendees are aware of emergency procedures where appropriate.
The Booking Organiser shall keep The Clubhouse safe by:
The Booking Organiser is responsible for the safety of all attendees throughout the event.
The Booking organiser must ensure:
Lifts must never be used during a fire evacuation.
The Booking Organiser should, where possible:
All guests should leave the building using the nearest safe exit and make their way to the designated assembly point:
Outside the souvenir shop opposite Central Chambers on Hope Street.
We strongly recommend that all organisers use the Visitor Sign-in Book provided within The Clubhouse so that an accurate headcount can be carried out at the assembly point if required.
Guests must not re-enter the building until instructed by the emergency services or building management.
Unless agreed in writing beforehand, the following are prohibited:
The Booking Organiser must report any:
to GLASGLOW GIRLS CLUB as soon as reasonably practicable.
Before leaving, please ensure:
Leaving The Clubhouse ready for its next guests helps us maintain the welcoming standard that every organiser enjoys.
Any waste generated during the Booking must be removed from the venue by the Booking Organiser unless otherwise agreed with GLASGLOW GIRLS CLUB in writing.
Nothing in these Conditions creates any tenancy, lease or other right of occupation over The Clubhouse.
Any items found following an event will be retained by GLASGLOW GIRLS CLUB for a reasonable period where practical.
Whilst GLASGLOW GIRLS CLUB accepts no responsibility for lost property, we’ll make reasonable efforts to reunite owners with any items found.
Items remaining unclaimed after a reasonable period may be disposed of or donated. Any applicable storage and return costs are the responsibility of the Booking Organiser.
Music is welcome during your event.
As The Clubhouse is located within a shared business building, we ask organisers to keep music and amplified sound at a reasonable level, particularly during normal business hours.
If requested by GLASGLOW GIRLS CLUB or building management, organisers must reduce noise levels.
The Booking Organiser accepts responsibility for damage caused by themselves, their guests or suppliers.
This includes:
Reasonable repair or replacement costs may be recovered.
The Booking Organiser is responsible for ensuring they hold any required valid insurance cover appropriate to their event. The Booking Organiser may be required to provide to GLASGLOW GIRLS CLUB evidence of appropriate public liability insurance. Where the Booking Organiser is responsible for obtaining public liability insurance, it is the Booking Organiser’s responsibility to ensure that such insurance is appropriate and adequate for the Event. Any request by GLASGLOW GIRLS CLUB for evidence of insurance is for information only and does not constitute approval or verification of the adequacy or scope of that insurance.
The Booking Organiser agrees to indemnify GLASGLOW GIRLS CLUB against claims, losses or damages arising from their negligence, breach of these Conditions or failure to comply with applicable legislation, except where caused by the negligence of GLASGLOW GIRLS CLUB.
Except where liability cannot legally be excluded (including death or personal injury caused by negligence or fraud), GLASGLOW GIRLS CLUB’s total liability arising out of or in connection with the booking shall be limited to the amount paid by the Booking Organiser for the hire.
We reserve the right to require a refundable damage deposit for certain venue hire bookings where we reasonably consider it appropriate, taking into account the nature of the booking. Any such requirement will be notified to you before your booking is accepted.
GLASGLOW GIRLS CLUB shall not be liable for any failure or delay in performing its obligations under these Conditions where this is caused by circumstances beyond its reasonable control, including (without limitation) fire, flood, severe weather, epidemic or pandemic, industrial action, utility failure, government action or closure of the building.
Where reasonably practicable, GLASGLOW GIRLS CLUB may offer an alternative date. If no alternative date is agreed, our liability shall be limited to refunding any part of the Venue Hire Fee actually paid to by the Booking Organiser to GLASGLOW GIRLS CLUB in respect of the affected Booking.
GLASGLOW GIRLS CLUB shall have no liability for any indirect or consequential loss, or for any costs incurred by the Booking Organiser with third parties in connection with the Booking.
The Booking Organiser is responsible for complying with all applicable data protection laws, including the UK GDPR and the Data Protection Act 2018, in relation to any personal data collected or processed in connection with the event. GLASGLOW GIRLS CLUB is not responsible for attendee data collected by organisers during their events.
We’re proud to operate a community-focused venue and encourage organisers to consider the environmental impact of their events wherever possible.

Please let us know as soon as reasonably possible so we have the opportunity to resolve any issues and continue improving The Clubhouse experience for future organisers.

GLASGLOW GIRLS CLUB reserves the right to terminate the hire immediately where the organiser or attendees breach these Conditions, behave in a manner that presents a safety risk, causes nuisance or damage, or engages in unlawful activity. No refund will be payable.
These Conditions are governed by the laws of Scotland.
The version applicable to your booking will be the version in force on the date your Booking is confirmed.

Through our website, we offer a range of products and services, including merchandise, event tickets, workshops, co-working passes, gift vouchers and other experiences designed to support and inspire our community.
When you purchase from us, you’re supporting an independent, female-founded business and helping us continue to create opportunities for women to connect, grow and thrive.

If we discover that a product or service has been incorrectly priced due to an administrative or technical error, we reserve the right to cancel the order before it has been fulfilled. Where this happens, we will contact you as soon as possible and provide the option to place a new order at the correct price or receive a full refund.
Where a payment is declined or cannot be authorised, your purchase or booking will not be confirmed until successful payment has been received.
Once your purchase or booking has been successfully completed, we will send confirmation to the email address provided during checkout.

While we make every effort to ensure availability is accurately displayed, there may occasionally be circumstances beyond our control where an item or service becomes unavailable after purchase.

The following terms apply to all merchandise purchased from GLASGLOW GIRLS CLUB.
We take great care to ensure that all product descriptions, images and prices are as accurate as possible.

Unless otherwise stated, the customer is responsible for paying any customs duties, import taxes, VAT or other local charges applicable to international deliveries.
Customers are responsible for ensuring that the delivery address provided at checkout is complete and accurate. We are not responsible for delays, failed deliveries or additional delivery charges resulting from incorrect or incomplete delivery information provided by the customer.
If your order has not arrived within the expected delivery timeframe, please contact us as soon as possible. We will work with our delivery provider to investigate and, where appropriate, arrange a replacement or refund in accordance with your statutory rights. From time to time, selected products may be offered on a pre-order basis.
Where applicable, an estimated dispatch date will be displayed on the product page. Please note that dispatch dates are estimates only and may change due to manufacturing, supplier or delivery delays.

Where you have expressly requested immediate access to a digital product and acknowledged that your statutory right to cancel will be lost once the download or streaming begins, your right to cancel ends as soon as access to the digital content has been provided. After this point, no refunds or cancellations will be available except where required by applicable law.
Digital products may not be copied, shared, reproduced, distributed, resold or used for commercial purposes without our prior written permission.
Where access to workshop recordings or replay content is provided, access is granted solely to the individual purchaser or member.
Recordings must not be copied, shared, reproduced, downloaded (unless expressly permitted), distributed or made available to any third party.
All intellectual property rights in workshop recordings remain vested in Glasglow Girls Club unless otherwise stated.
Workshop recordings and digital content must not be used to train artificial intelligence systems or incorporated into machine learning datasets without the prior written consent of GLASGLOW GIRLS CLUB.
We host a wide variety of events, experiences, workshops and community gatherings throughout the year. Whether you’re joining us for a networking event, brunch, workshop, social activity or special experience, we’re delighted you’ll be joining us.
The following terms apply to all event ticket purchases unless specific event information states otherwise.
Please note that participation in certain activities may not be suitable for everyone. Customers are responsible for ensuring they are medically fit to participate and for notifying us of any relevant accessibility or medical requirements.
Tickets can be purchased through our website or an authorised booking platform.
Your booking is confirmed once payment has been successfully processed and you have received a confirmation email from GLASGLOW GIRLS CLUB or our authorised ticketing partner.
Please check your booking confirmation carefully and contact us promptly if any details appear to be incorrect.
If you ask us to begin providing the service during the statutory cancellation period, you acknowledge that you may lose your cancellation right once the service has been fully performed or may be required to pay for services provided before cancellation.
Ticket prices are displayed at the time of booking.

As many of our events involve upfront commitments to venues, suppliers and guest experiences, tickets are generally non-refundable unless we cancel the event or applicable consumer law requires otherwise.
From time to time, we may choose to facilitate ticket transfers or waiting lists where operationally possible, but this cannot be guaranteed and remains entirely at our discretion.
Occasionally, circumstances outside our control may require us to make changes to an event.

If an event is postponed, your ticket will normally remain valid for the rescheduled date. Where you are unable to attend the new date, we will advise you of the options available at that time.
If an event is cancelled by GLASGLOW GIRLS CLUB and cannot be rescheduled, you will be offered an appropriate remedy, which may include a refund of the ticket price paid or a credit for a future event.
We will not reimburse additional costs incurred by attendees, including travel, accommodation, childcare or other personal expenses unless required by applicable law.
Our events are designed to provide welcoming, inclusive and enjoyable experiences for everyone.
By attending one of our events, you agree to behave respectfully towards our team, speakers, venue staff and other attendees.
We reserve the right to refuse admission or ask a person to leave an event without refund where their behaviour:
Photographs and video may occasionally be taken during our events for promotional, marketing and community purposes.
By attending an event, you acknowledge that you may appear in photographs or video recordings.
If you would prefer not to be photographed or filmed, please speak to a member of our team when you arrive, and we will make every reasonable effort to accommodate your request. We reserve the right to retain historic photographs and videos already published.
From time to time, presentations, workshops or printed materials may be provided as part of an event.
Unless otherwise stated, all content remains the intellectual property of GLASGLOW GIRLS CLUB or the relevant presenter and may not be copied, reproduced, distributed or used commercially without prior written permission of GLASGLOW GIRLS CLUB.
The Clubhouse has been created as a welcoming, flexible and collaborative workspace where our community can connect, focus and grow their businesses.
The following terms apply to all co-working passes purchased through GLASGLOW GIRLS CLUB.
Unless otherwise stated, all co-working sessions must be booked in advance.
Bookings are subject to desk availability and are allocated on a first come, first served basis.
Purchasing a co-working pass does not guarantee availability on every advertised co-working day. We recommend booking early, particularly during busier periods.
Access is available during the advertised co-working hours only.
The Unlimited Monthly Pass provides access to available co-working sessions during the calendar month in which the pass is purchased.

To help create an enjoyable environment for everyone using the space, we ask all co-working guests to:
Assistance dogs are always welcome. Pets and other animals are not normally permitted in The Clubhouse unless prior written approval has been obtained from GLASGLOW GIRLS CLUB.
Tea, coffee and other complimentary refreshments may be provided during co-working sessions where advertised.
The refreshments available may vary from time to time and do not form part of your contractual purchase.
Where food or refreshments are made available, customers remain responsible for notifying us of any allergies or dietary requirements at the time of booking or as soon as reasonably practicable.
Whilst we will endeavour to accommodate notified requirements where possible, we cannot guarantee that refreshments will be free from allergens.
Customers are responsible for their own personal belongings whilst using The Clubhouse.
GLASGLOW GIRLS CLUB does not accept responsibility for any loss, theft or damage to personal property unless caused by our negligence.
From time to time, we may need to amend advertised co-working dates, opening hours or facilities due to operational requirements, maintenance, private hire, unforeseen circumstances or events beyond our reasonable control.
Where reasonably possible, we will provide advance notice of any significant changes.

We reserve the right to refuse or withdraw access to the co-working space where a customer:
